QuickBooks Integration

Every bill in QuickBooks, captured and coded for you

Tailride finds your invoices wherever they land — inbox, supplier portals, messaging apps — pulls out every figure, and files them into QuickBooks as bills you just review and approve. Around five minutes to set up.

Getting bills into QuickBooks: your options

QuickBooks gives you a handful of ways to get bills in. Each one either leans on receipts, stops at the basics, or still expects you to do the entering.

Manual entry

Slowest

Key each bill into QuickBooks by hand, field by field. Fine for a trickle, but at volume it burns hours — and one fat-fingered total resurfaces weeks later at reconciliation.

Receipt forwarding

Limited

Forward receipts to your @assist.intuit.com address and they land in the Receipts tab. Handy for expenses — but it's built for receipts, not supplier bills, and captures only the basics.

Receipt capture

Built-in

QuickBooks reads receipts you snap or upload and matches them to bank transactions. Fine for the odd receipt, but it doesn't reach vendor portals and won't pull full bill detail at volume.

What you get with Tailride for QuickBooks

Built for QuickBooks users who'd sooner not touch invoice data by hand.

Pulls from your mailbox

Connect Gmail, Outlook or IMAP and Tailride lifts invoices as they arrive — attachments and in-body invoices alike, no forwarding rules to babysit.

Codes against your chart of accounts

Capture is only half of it — Tailride matches each bill to the correct account and tax rate from your QuickBooks chart of accounts, so nothing lands as a blank shell you finish by hand.

Reaches supplier portals

Plenty of invoices never hit your inbox. The Tailride browser extension grabs them straight from portals like Amazon and Meta while you're signed in. Browse portals →

Reads every field with AI

No per-supplier templates to build. The AI recognises vendor, dates, totals, tax and line items on whatever layout it meets.

Flags the odd ones

Duplicates, totals that don't foot, and amounts that look wrong are caught before they ever reach your books.

Sends straight to QuickBooks

One click turns a captured invoice into a QuickBooks bill — line items, tax and the source document all carried across.

Whether you're a business or a firm

You run day-to-day finances in QuickBooks and want bills in faster — without adding headcount to AP.

QuickBooks integration — common questions

Which QuickBooks plans does Tailride work with?
All of QuickBooks Online. You connect through Intuit's own secure sign-in, so it works whatever plan you're on, with nothing to install inside QuickBooks.
How do invoices show up in QuickBooks?
As a QuickBooks bill carrying the supplier, date, reference, line items, tax and the original document — ready for you to review and approve before it's paid.
Why not just use QuickBooks' receipt capture?
QuickBooks' receipt capture and forwarding only handle files you already have, and they're built around receipts and basic fields. Tailride goes and collects the invoices for you — from your inbox and vendor portals — pulls the full line-item detail, filters duplicates, and delivers complete bills.
How accurate is the reading?
The models have seen millions of invoices, so vendor, total, date and invoice number land above 99% on ordinary documents. A messy or unusual layout is worth a quick check.
Does it categorise bills to my chart of accounts?
Yes — each bill is matched to the right account and tax code from your QuickBooks chart of accounts, so it arrives coded rather than blank. You confirm instead of categorising from scratch.
How much is it?
You pay per document processed — not per user or per client. The free tier handles 10 invoices a month with no card required. See pricing →
What happens to my data?
Documents travel over encrypted connections and sit behind access controls. Mailbox access is read-only and used only to spot financial documents, and your data is never used to train AI models. Nothing is sold — it's shared only with the processors that run the service (cloud storage, OCR and AI), under contract. Tailride is an EU company, and a Data Processing Agreement is available on request.
