The Best Expensify Alternative in 2026

An honest comparison of Tailride and Expensify (expensify.com) — verified August 2026 pricing, employee expense reports versus supplier-invoice collection, and who should choose each.

Short answer

Choose Tailride if the work you want automated is collecting supplier invoices: finding them in your own inboxes and supplier portals, recovering years of history, coding line items to your chart of accounts and reconciling them against the bank. Starter is $19 per month or $158 per year, with unlimited users on every plan.

Choose Expensify if the work you want automated is employee spend: receipt capture by staff, a corporate card with spend controls, mileage, reimbursement in local currencies and multi-level expense-report approvals.

What is Expensify?

Expensify (expensify.com) is an expense management platform. Employees photograph a receipt and SmartScan reads it, or forward receipts to receipts@expensify.com; expenses roll up into reports, run through approval, and are reimbursed across borders in local currencies. Expensify also issues the Expensify Card with unlimited virtual cards and up to 2% cash back, offers bill pay, and advertises 45+ integrations including QuickBooks, NetSuite, Sage Intacct, Xero, Workday and Gusto.

The two products sit on opposite sides of the same ledger. Expensify's unit of work is the employee expense report, and capture starts with a person acting on a document. Tailride's unit of work is the supplier invoice, and capture starts with a connected mailbox or a supplier portal that Tailride visits on its own.

Where Expensify has the edge

Expensify solves a problem Tailride deliberately does not solve. It is the stronger choice when:

Reimbursing employees

Expensify pays staff back for out-of-pocket spend, including global reimbursements across borders in local currencies. Tailride does not reimburse anyone; it collects and codes supplier documents.

A corporate card in the same product

The Expensify Card sits inside the same workspace, with unlimited virtual cards, spend controls applied before the money leaves, and up to 2% cash back. Tailride issues no cards.

Mileage, travel and per-diem spend

Distance tracking in miles or kilometres is free on every Expensify account, and travel spend is a first-class expense type. Tailride has no mileage or travel module.

Expense policy, approvals and ERP depth

The Control plan adds policy enforcement, SSO and deeper finance integrations such as NetSuite and Sage Intacct, across 45+ published integrations.

Free personal receipt tracking

Expensify's help centre states that every personal account includes unlimited free SmartScans, receipt forwarding and CSV export, with no paid workspace. For a sole trader who only needs a shoebox replacement, that is hard to beat.

Where Tailride wins

Autonomous collection instead of employee snapping

Tailride connects to Gmail, Outlook and IMAP and finds invoices itself. Expensify's capture channels are a photo taken by a person, a forward to receipts@expensify.com, or a card feed — a document nobody acts on never enters the system.

Retroactive inbox scanning

Tailride scans existing inbox history to recover old invoices during onboarding, on every plan. Expensify starts from the day someone submits a receipt; it does not go back through your mailbox.

100+ supplier portals and a teachable browser extension

Unlimited supplier portals are included on every Tailride plan, and the teachable browser extension runs inside your own authenticated session, so custom, intranet and two-factor portals work too. Expensify does not download invoices from supplier portals.

Link-only invoice emails

Plenty of suppliers email a link rather than a PDF. Tailride follows invoice links (Stripe today, more coming) and retrieves the document, instead of filing an email with no attachment.

Unlimited team members and invited accountants

Expensify bills per member every month, and a Control annual subscription bills every member in your subscription size whether they were active or not. Tailride's price moves with invoice volume, never with headcount.

Accounting sync is not behind a paywall

Expensify's own help centre states that paid workspaces are required for categories, tags, automatic reimbursement and accounting integrations. Tailride includes chart-of-accounts coding and accounting destinations from the free tier upwards.

Line-item coding across ten ledgers

Tailride posts directly to QuickBooks, Xero, Odoo, Business Central, sevDesk, e-conomic, Lexware Office, Sage Accounting, FreeAgent and Holded, plus DATEV export, CSV, the API and archive copies in Google Drive, Google Sheets or OneDrive. Coding happens line by line, with the account and tax code, before the document reaches your ledger.

Bank reconciliation that finds the missing paperwork

Every Tailride plan includes unlimited bank reconciliation, matching invoices to statement lines and flagging transactions with no document so you can go and collect it. Expensify's bank and card feeds exist to fund reimbursement, not to close the document gap on supplier spend.

Expensify vs Tailride pricing (verified August 18, 2026)

Expensify Collect is a flat $5 per member per month with no annual commitment and no requirement to adopt the Expensify Card. Control is $18 per member per month on an annual subscription — billed for every member in your subscription size regardless of activity, plus $36 per active member above it — or $36 per active member per month pay-per-use. Control annual workspaces can earn up to a 50% discount based on the share of approved USD spend put on the Expensify Card. Personal accounts are free and include unlimited SmartScans, but categories, tags, automatic reimbursement and accounting integrations all require a paid workspace.

Tailride is free for 10 invoices per month. Starter is $19 per month or $158 per year for 75 invoices per month and 2 connected inboxes. Growth is $49 per month or $408 per year for 350 invoices and 8 inboxes; Scale is $99 or $825 for 750 and 20; Premium is $199 or $1,658 for 1,500 with unlimited inboxes. Every plan includes unlimited supplier portals, unlimited bank reconciliation and unlimited users.

A worked example

A ten-person company pays $50 per month on Expensify Collect ($5 × 10 members) or $180 per month on Control annual ($18 × 10) before any card discount, and that figure rises with every person you add. Tailride Growth is $49 per month, or $408 per year, for 350 invoices, 8 connected inboxes, unlimited supplier portals, unlimited bank reconciliation and unlimited users — the same price at ten people or fifty.

How to switch from Expensify to Tailride

  1. 1Decide what stays: employee reimbursement, the Expensify Card, mileage and travel spend have no Tailride equivalent, so keep Expensify if you rely on them.
  2. 2Connect Gmail, Outlook or IMAP to Tailride and run the retroactive scan to rebuild supplier-invoice history.
  3. 3Install the teachable browser extension for supplier portals, then connect your accounting destination and your bank statements.
  4. 4Run one close cycle in parallel, then move supplier-invoice collection, coding and reconciliation to Tailride and leave employee-initiated spend where it is.

Frequently asked questions

How much does Expensify cost in 2026?

Collect is a flat $5 per member per month with no annual commitment and no Expensify Card requirement. Control is $18 per member per month on an annual subscription, or $36 per active member per month pay-per-use, with up to a 50% discount on Control annual based on Expensify Card spend. Tailride Starter is $19 per month or $158 per year and includes unlimited users.

Does Expensify still limit SmartScans?

No. Expensify's help centre states that every personal account includes unlimited free SmartScans; older monthly scan caps are no longer in force. What a free Expensify account does not include is categories, tags, automatic reimbursement or accounting integrations — those need a paid workspace.

Does Expensify scan my inbox for invoices?

It gives you a forwarding address, receipts@expensify.com, and a mobile SmartScan. It does not connect to your Gmail, Outlook or IMAP mailbox and work through what is already there. Tailride connects to the mailbox itself and scans back through existing history.

Does Expensify download invoices from supplier portals?

No. Supplier-portal retrieval is not part of Expensify's published capture channels. Tailride ships 100+ pre-built portal integrations plus a teachable browser extension that learns any portal you can log into, including intranet and two-factor sites.

Is Expensify an accounts-payable tool?

Partly. Expensify offers bill pay, but the product is designed around employee expense reports and card spend. If your bottleneck is collecting and coding supplier invoices rather than approving staff claims, that is the part Tailride is built for.

Which accounting systems does Tailride support?

Tailride posts directly to QuickBooks, Xero, Odoo, Business Central, sevDesk, e-conomic, Lexware Office, Sage Accounting, FreeAgent and Holded, plus DATEV export, CSV, the API and archive copies in Google Drive, Google Sheets or OneDrive. Every destination is available from the free tier, not gated behind a paid workspace.

Which is cheaper as the team grows?

Expensify's bill scales with the number of members; Tailride's scales with invoice volume. A team of five processing 300 invoices a month pays $25 on Collect and $49 on Tailride Growth; at twenty-five people, Collect is $125 a month while Tailride Growth is still $49.

Can I run both products at once?

Yes, and many finance teams do. Expensify handles employee-initiated spend and the corporate card; Tailride handles supplier invoices arriving by email and portal, codes them and reconciles them against the bank. They post to the same ledger.
